
THE SHOW PROCESS
We have introduced a new pitch and show process to provide a clearer structure, stronger governance, and a more supportive environment for creativity. This new framework ensures every production is delivered with purpose, efficiency, and artistic excellence.
We encourage EOIs to be submitted for all types of shows. This could include theatre productions, dance and music ensembles, films or any other creative endeavor you may wish to create. We want to hear you ideas and we are willing to work with you to make the process work.

​Our full production cycle could span up to 14 months, delivered across four key phases.
PHASE 1: THE PITCH (DURATION - 3 MONTHS)
Our pitch process has been revised to occur over a series of three monthly meetings with the MAYA Production Committee. The MAYA Production Committee comprises members that have been appointed by the MAYA Board to oversee the production process. The revised process is designed to ensure every proposed production is thoughtfully planned, realistic, aligned with your creative direction, as well as MAYA's long-term organisational goals.

The first step is for interested parties to fill out an expression of interest (EOI) form. Parties will be required to provide a high level elevator pitch of their production as well as note the proposed producer(s) and creative director(s) for the show. The scriptwriter, director, and producer will be required to attend all three pitch rounds.
Following the EOI, each team will need to attend three pitch meetings, hosted by the MAYA Production Committee. Over the pitch process, teams progressively refine their original idea into a "show ready concept". This will require teams to build feasibility plans, and demonstrate their capacity to deliver a high-quality show. This could include early script or choreography development, high-level rehearsal planning, assembling an initial project team and determining specific financial and marketing goals for the production. But don't worry if you aren't sure what this all means - the MAYA Production Committee will provide specific requirements for each pitch to interested parties that submit the EOI. They will also guide you on what to produce for each pitch and provide feedback on how you can improve and further refine your idea. Candidates will have the opportunity to test key creative ideas, and ask questions to better understand the foundational structures needed for a successful production.

Once the three rounds of pitches are complete, the MAYA Production Committee will determine and award the successful production(s). Our ability to award multiple productions is based on the scale of the shows pitched and our internal resourcing availabilities at the time. The award of a production will be based on how effectively each team meets the key milestones for every pitch round and responds to feedback from previous pitches. The benefit of this model is that even if your team is not selected, you will likely walk away with a developed creative concept that positions you to refine and resubmit for consideration in our next production cycle. Throughout the entire pitch process, our the MAYA Production Committee will support you with storyboarding, venue research, budget planning, and strategic guidance to maximise your chances of success.​​
PHASE 2: THE PROJECT SET UP (DURATION - 3 MONTHS)
Phase two commences immediately following the award of a show. Over the next three months, the chosen creative team transitions from concept development to full-scale pre-production. This phase focuses on elements of the production such as:

auditions to recruit the broader production team

venue hire and scheduling the show date

securing financial pathways via fundraising and sponsorships

preparing all logistical elements required before rehearsals commence (including rehearsal space hire, and forward plan of rehearsals)

establishing a partnership with the charitable cause
This stage establishes the framework that ensures the creative vision can be delivered safely, sustainably, and to a high professional standard by securing finances and the production team early in the process.
PHASE 3: REHEARSALS (DURATION - APPROX 6 MONTHS)
Creative teams begin rehearsals following the forward schedule established in phase two. Showrunners will also be required to check-ins with the MAYA Production Committee weekly to provide progress updates and troubleshoot issues proactively. This stage focuses on elements such as: ​​

coordinating weekly rehearsals for all creative teams

regular fundraising activities

sponsorship campaigns for medium & low-value donors

organising a venue tour

meeting the breakeven target.
PHASE 4: REFINEMENT (DURATION: 2 MONTHS)
The fourth and final phase is an intensive one month push to the finish line! This will require teams to organise ''Tech runs'' to pull together all creative elements of the show. This stage focuses on elements such as:

finalising, as required, all script, staging, set, dance, and costumes

developing a complete tech script

finalising the risk assessment (in partnership with the Venue)

final ticket sales push
-
establishing the show day logistical plan.
